What the Inspections pages are for
An inspection from creation to findings: the job, what it covered, what it found, and where the open findings put the company at risk.

An inspection is the recurring promise at the heart of the business: be at the building, test the systems, record what failed. These four pages follow that promise from the form that creates the job, to the grid that tracks it, to the deficiencies it finds, to a map that says which of those findings should worry you most.

New Inspection

Open New Inspection
Who it is for
The office, creating an inspection that did not come from a contract: a one-off, a new customer, a request from the field.
Without it
A job created without its systems, its priority and its recipients arrives in the field half-described, and the report goes out to whoever the technician remembers.
What it shows
One form in tabs: Details (customer and building, assigned office, priority, difficulty, estimated duration and days, number of techs, anticipated start, due date, scheduled date and start time, working window, reference, contract and PO numbers), Systems (the building's systems to inspect, with Add System for a new one: name, system type, subsystem type), Attachments, Related, History and Documents. A customer or building that does not exist yet can be added from inside the form, and the report recipients and the sending-from mailbox are set on the same page. Edit Inspection is the same form on an existing job.
What it is worth
  • The whole job in one place. Location, scope, timing, references and recipients are captured together, so nothing is chased later.
  • Add the customer without leaving. New customer, new building and new contact modals sit inside the form.
  • Scope is explicit. A visit needs at least one inspection type, and the systems tab says exactly what is to be inspected.
Pays for itself the first inspection whose report goes to the right three people without anyone asking who they were.

Inspections

Open Inspections
Who it is for
The office tracking inspections through the field and reviewing them when they come back.
Without it
"Did we cover every system?" and "what did we find?" are answered by opening the report PDF, and a wrong answer on a form means re-issuing the whole report.
What it shows
The job grid narrowed to inspections, with the same search, filters and Actions as All Jobs. Opening one lands on the Inspection Dashboard: a header card with the job number and the Scheduled, Due, Started, Completed and Assigned facts; the Lineage and Links rail; progress KPIs (Systems Inspected, Open Deficiencies, Photos, Hours Logged, Days Open); Findings; Outputs (the generated reports); Scheduled Days; System Coverage (system, status, inspected by, date); Service Quotes from this Inspection; and Service Items. From the dashboard, Edit Report opens the office-side editor for the inspection's forms: pick a form or system, then edit its questions, its devices (asset type, subtype, floor, section, location) and its deficiencies (type, internal and public notes, photos, with the prior deficiency shown read-only when one recurs).
What it is worth
  • Coverage is a table, not a hope. System Coverage shows every system on the job with its status and who inspected it, so a missed system is visible before the report goes out.
  • The report can be corrected in the office. Edit Report changes an answer, a device detail or a deficiency note without sending the technician back.
  • The lineage is on the page. Contract, customer, building, and every quote and service that came from this inspection, one click each.
  • History on demand. The History button shows every change to the job and its direct children.
Pays for itself the first report corrected from the office in two minutes instead of a return visit.

Deficiencies

Open Deficiencies
Who it is for
The service manager quoting repairs, the account manager answering a customer, and whoever answers for compliance.
Without it
A finding lives inside the inspection that found it. Nobody can list every open finding across the company, see which ones have been quoted, or notice that the same device has failed three inspections running.
What it shows
The cross-job deficiency grid. Search by question, failed value or notes. Filters grouped by toggle: Open or Resolved; customer, building and system pickers; age bands (0 to 30, 31 to 60, 61 to 90, over 90 days); Service Quote (any, on a service quote, not yet quoted); Photos (has photos, no photos); and an Opened From / Opened To range. Rows show the finding, its System / Scope, and actions. Each deficiency has its own dashboard: cards for Status, Days Open, Severity, Times Seen Here, Open in Building and Quoted; The Finding and its Location; a Lifecycle timeline; Photos; the Service Quotes raised for it; Recurrence History (every time it was opened, with job number and failed value); and Other Open in This Building.
What it is worth
  • The unquoted list. Filter to Open and Not Yet Quoted and the grid is the service revenue nobody has asked for yet.
  • Recurrence is on the record. Times Seen Here and the Recurrence History show a device that keeps failing, which is a different conversation from a device that failed once.
  • Age bands are the compliance clock. Over 90 days is the band that becomes a conversation with the customer, the insurer or the AHJ.
  • Building context on every finding. Other Open in This Building turns one repair visit into a complete one.
Pays for itself the first week the Not Yet Quoted filter is worked to zero.

Liability Map

Open Liability Map
Who it is for
The owner and the service manager deciding which buildings to call first.
Without it
Open findings are a count. A count cannot say whether the risk is one critical impairment in a hospital or forty minor items across a strip mall, or that the worst of it is on one site nobody has visited in a year.
What it shows
A map of open deficiencies scored by severity and age. An exposure strip across the top drills into the Deficiencies grid (all open, critical and unclassified, over 90 days). A toolbar filters by customer and age band, with an option to include findings already resolved. The map plots buildings by score with a legend overlay and a Highest Exposure leaderboard beside it. A coverage warning lists Sites Missing Coordinates, since a building with no location cannot be plotted. A How the Score Works modal shows the severity weights and age multipliers.
What it is worth
  • Risk, not count. Every open deficiency scores severity weight times age multiplier, and a site's score is the sum, so severity, age and volume all move it.
  • The call list, ranked. Highest Exposure is the order to make the calls in.
  • Honest about blind spots. Sites with no coordinates are listed, not silently dropped, so the map's coverage is known.
  • Bands re-scale to the view. Filter to one customer and the bands rank that customer's sites against each other.
Pays for itself the first time the top of the Highest Exposure list is a building nobody had thought about.

  • Inspections whose findings still need a price are listed in the Quote Queue, with a Needed / Created count per inspection.

Good to know

  • Every deficiency is created with a blank type. The types are Critical, Non-Critical and Impairment; a finding nobody has classified shows as Unclassified. There is no Minor.
  • Unclassified weighs the same as Critical on the Liability Map. Blank is read as severe on purpose, so the largest group of findings is never hidden behind a zero.
  • The age multiplier is capped. One ancient finding cannot outweigh a site carrying dozens of fresh ones.
  • A recurring finding keeps its history. When a device fails again, the new deficiency shows the prior one read-only, and Recurrence History lists every occurrence with its job number.
  • The map needs coordinates. A building with no latitude and longitude is counted under Sites Missing Coordinates; geocode the building and it appears.
